ITAD Checklist for Florida Businesses: What to Prepare Before You Retire IT Equipment
Prepare an equipment list, a named project contact and clear data instructions before arranging an ITAD pickup. Resolve ownership and release approvals first, then agree logistics and closing records.
Equipment and ownership
- List models, quantities, serial numbers and useful configuration details.
- Separate company-owned, leased, financed and third-party equipment.
- Flag missing parts, damaged batteries and other handling concerns.
- Identify computers, drives and appliances that may store data.
- Confirm what can leave the site and who signs the release.
Data and accounts
Complete required migrations and backups before retirement. Have the authorized IT team address management enrollment, licensing and account locks through its approved procedures. Account removal and storage sanitization are separate tasks.
Define the required sanitization or destruction outcome, the evidence needed and who approves exceptions. Do not assume that a factory reset or file deletion meets your policy.
Pickup planning
- Provide site addresses, pickup ZIPs and the on-site contact.
- Describe stairs, elevators, loading docks, parking and access restrictions.
- Confirm packing, palletizing, labor and transport responsibilities.
- Record count and custody at handoff and reconcile discrepancies at intake.
- Agree collection windows for each location.
Recovery and closeout
Request a resale estimate if useful. Confirm whether the arrangement is an outright purchase or remarketing, what costs apply and when payment is due. Estimates depend on inspection and market conditions.
Specify the inventory, media-processing results, custody records, disposition report and financial settlement you need. Assign someone to review and retain the final pack.
