What Is IT Asset Disposition (ITAD)? A Plain-English Guide for Businesses

IT asset disposition (ITAD) is the planned retirement of business technology. It connects equipment inventory, data handling, value recovery and recycling with records that explain the outcome.

What an ITAD project covers

A refresh can include laptops, workstations, servers, storage, GPUs and networking equipment. The work begins with identifying what the business owns, what it can release and which devices may retain data. Reuse and resale decisions follow the data-handling decision.

Recycling is one possible outcome. Working equipment can have a second use, while damaged or obsolete assets may need parts recovery or materials recycling.

The seven stages

1. Plan: define equipment, locations, responsibilities and records.
2. Collect: arrange packing, access and custody transfers.
3. Track: reconcile received assets and identifiers.
4. Secure data: process media and record results and exceptions.
5. Test and grade: assess reusable hardware.
6. Recover or recycle: carry out the selected disposition route.
7. Report: connect inventory, processing, disposition and settlement records.

Questions to ask a provider

Ask who takes custody, who performs data processing, how failed devices are handled and what records you will receive. For recovery projects, clarify valuation, fees, ownership transfer and payment timing. If procurement requires a particular certification, verify the facility and certification scope before approval.

Start with a usable inventory

A model and quantity list is a useful starting point. Add serial numbers, configurations, condition, pickup ZIP and timing where available. Identify leased assets and equipment still needed in production. Keep passwords and business data out of the inquiry.
