Data Sanitization vs. Physical Destruction: Which Does Your Retired Equipment Need?

The right data-handling route depends on the media, its condition, information sensitivity and your organization’s requirements. Logical sanitization can preserve equipment for reuse; physical destruction makes the storage media unusable.

When reuse is appropriate

Working media can be considered for reuse when a supported sanitization technique meets the required outcome and its results can be checked. The hardware’s resale value does not override the data policy.

Confirm device support, processing evidence and the validation decision. Removing accounts, deleting files and reinstalling an operating system are not substitutes for an approved sanitization process.

When physical destruction is appropriate

A policy may require destruction, or a damaged device may not support reliable logical processing. The destruction technique must suit the media. Visible damage to a casing alone is not evidence that the stored data is inaccessible.

Destroying a drive does not necessarily mean recycling the entire computer. A system may remain useful with storage removed, provided other data-bearing components have also been addressed.

Exceptions need a separate path

A failed sanitization attempt should remain an open exception until an authorized person approves a suitable next step. Keep the original result, the revised instruction and the final evidence together. Do not relabel an incomplete operation as successful.

Records that distinguish the outcomes

The final record should identify the media, technique, processing date, result and responsible parties. A physical-destruction record should describe the destruction performed. Track transfers to any processing partner through custody records.
